Tips for a Successful Photo Day

A little preparation goes a long way. Follow these guidelines to make your corporate headshot process smooth and stress-free for every team member.

What to Wear

Solid colors are your best friend on photo day. Navy, charcoal, black, and deep jewel tones photograph beautifully and keep the focus on your face rather than your outfit. Avoid busy patterns, thin stripes, and large logos — these can create visual distractions or cause a moiré effect on camera.

Business professional or business casual attire that aligns with your company culture works best. If your team wears polos with a company logo, those look great too. The most important thing is that each person feels confident and comfortable. We recommend bringing a backup top just in case — a quick wardrobe change between shots takes only seconds.

How to Prepare Your Team

Communication is the key to a smooth session. We recommend sending a company-wide email at least one week before your scheduled photo day. Include the date, time slots, what to wear, and a brief overview of what to expect. This gives everyone time to plan their outfit and arrange their schedule.

Send a short reminder the morning of the session. Something as simple as "Headshots today — check your time slot and come camera-ready!" works well. When people know what's coming, they arrive relaxed and ready, which translates directly to better photos. Check out our FAQs page for answers to common questions your team might ask.

Room Requirements

We need a space of approximately 10 by 12 feet minimum to set up our professional lighting and backdrop. A conference room, large office, or break room typically works perfectly. The space should have access to at least two standard power outlets for our lighting equipment.

Ideally, the room should be away from large windows or have blinds that can be closed. Natural light is wonderful in everyday life, but for consistent, studio-quality headshots we need full control over the lighting environment. Don't worry if your only option has windows — we can work with most spaces by adjusting our setup. We'll confirm the room details during your planning call.

What to Expect During Your Session

Each individual session takes just 3 to 5 minutes. You'll step in front of the camera, and our photographer will guide you through every pose and expression. There's no guesswork — we coach you on where to look, how to angle your shoulders, and when to smile. Most people are surprised at how quick and painless the whole experience is.

You'll see an instant preview on our tethered display immediately after your shots. This means you can approve your favorite image before you walk away. No waiting, no wondering — you'll know you got a great headshot before you return to your desk.

Day-of Logistics

The smoothest photo days have one thing in common: a designated coordinator. Assign someone from your team to manage the schedule, nudge people when their time slot is approaching, and keep the flow moving. This person doesn't need to do much — just make sure the next person is ready when the current session wraps up.

We'll provide a time-slot schedule during the planning phase that you can share with your team. Staggering appointments in 5-to-7-minute blocks keeps things efficient and prevents bottlenecks. View our service packages to find the right fit for your team size.

Why Our Process Works

Our on-location corporate headshot process is designed around one principle: get outstanding results with minimal disruption. Research shows that a professional image directly impacts trust and credibility — Forbes reports that a quality headshot can increase profile engagement by up to 14 times.

Efficiency That Respects Your Time

Each team member spends just 3 to 5 minutes in front of the camera. Compare that to a traditional studio visit that can take 20 to 30 minutes per person — not counting the commute. For a team of 30, that's the difference between a half-day disruption and a barely noticeable pause in the workday.

Consistency Across Every Headshot

Because we set up the same professional lighting rig for every session, your headshots will have a uniform look and feel. Whether someone photographs at 9 AM or 3 PM, the lighting, background, and color balance stay identical. The result is a cohesive team page that looks polished and intentional.

Comfort Leads to Better Photos

People photograph better when they feel at ease. By shooting in your own office environment — a space your team already knows — we eliminate the awkwardness that comes with an unfamiliar studio. Relaxed subjects produce natural expressions, and natural expressions make for stronger headshots.

Zero Travel, Zero Hassle

No one on your team needs to commute to a studio, find parking, or lose productive hours traveling across town. We bring everything — lighting, backdrops, and equipment — directly to your office. That means your team stays focused, and the headshots happen in the background of a normal workday.

Professional Coaching for Every Person

Not everyone is comfortable in front of a camera, and that's completely fine. Our photographer guides every expression and pose, providing real-time direction so each person looks confident and approachable. You don't need to know your good side — we'll find it for you.

The Importance of a Defined Headshot Process

Most corporate photography failures happen before anyone sets foot in front of a camera. Poor planning, unclear communication, and inadequate logistics turn what should be a productive shoot day into a stressful, disorganized experience. At Victory Headshots, our 5-step corporate headshot process was built specifically to eliminate those failure points — giving Philadelphia businesses a reliable, repeatable system that produces excellent results every single time.

Our process has been refined across hundreds of sessions with Philadelphia organizations of every size and type. Law firms with 8 attorneys. Healthcare systems with 200 physicians across multiple campuses. Technology startups with 12 employees and a tight deadline. Enterprise corporations with 500+ staff across multiple Philadelphia-area locations. The process adapts to every scenario because it's built on consistent principles: thorough preparation, efficient execution, and quality delivery.

How We Prepare Your Team for a Successful Session

Preparation is the most undervalued phase of any corporate headshot session. After you book with Victory Headshots, you receive our comprehensive team prep guide — a practical document we've developed over years of shoots that covers everything employees need to know before shoot day. Wardrobe recommendations, grooming tips, what to bring, how to prepare mentally, and what to expect during the session itself.

The wardrobe guidance alone prevents the most common headshot disasters. Solid, medium-to-dark colors photograph best. Thin stripes and busy patterns create a visual phenomenon called moiré that looks terrible in photos. Very white or very light tops tend to wash out and draw attention away from the face. We provide specific color recommendations based on the background option you've selected, so every team member arrives camera-ready.

We also send a scheduling coordinator document that makes it easy for your office manager or executive assistant to build the shoot-day schedule. Each employee is assigned a specific arrival time in 5-minute increments, eliminating the chaos of everyone showing up at once and the long waits that make people tense and impatient by the time they step in front of the camera.

On-Site Setup: What We Bring and What We Need

Our on-location studio setup is entirely self-contained. We arrive with professional-grade lighting equipment — typically a two or three-light arrangement including a large main source, fill, and background light — along with portable background stands, backdrops in your selected color(s), camera equipment, and a calibrated review monitor. We can set up in any space with at least 12 feet of depth and standard electrical outlets.

Common setup locations include conference rooms, lobby areas, open floor plan sections, and even private offices when space is at a premium. We'll discuss your office layout during the pre-session call and confirm the ideal location in advance. Our setup process takes approximately 30–45 minutes and does not require you to rearrange furniture — we work around your existing space.

Once setup is complete, we run a quick test with one or two willing first subjects — often the most outgoing employees who volunteer to go first — to confirm the lighting is optimized for the specific room conditions. We adjust for ambient light from windows, ceiling light contamination, and any other environmental factors before the main shoot begins.

Image Delivery and What Happens After the Shoot

Within 3–7 business days of your shoot, you'll receive a secure link to your completed gallery. The gallery is organized by employee name (or ID number for larger teams), making it easy for your marketing, HR, or communications team to find and distribute the right file. Each final image is delivered in two formats: a web-optimized version (typically 1,000–2,000px wide at 72 DPI) and a high-resolution print version (300 DPI at full size).

Gallery access is available for 90 days from delivery, during which you can download any or all files at any time. We also maintain an archive of your project files for one year after the session, so if you need to recover a file or retrieve a version months later, we can accommodate that at no additional charge.

Have specific questions about our process? Visit our full FAQ page for detailed answers, or reach out directly — we're happy to walk you through exactly what to expect before you commit to booking. You can also review our pricing packages to understand how session format varies by team size.

Process Questions

Common questions about how our corporate headshot process works on the day of your session. For more answers, visit our full FAQs page.

Setup typically takes 30 to 45 minutes. Our team arrives early to unload equipment, assemble the lighting rig, configure the backdrop, and run test shots to ensure everything looks perfect. We handle all of this before the first team member arrives, so there's no downtime for your staff. If you have a large or complex space, we may arrive slightly earlier — we'll confirm timing during your planning call.

It happens — people get sick, travel for work, or have scheduling conflicts. We offer makeup sessions for anyone who misses the original photo day. Depending on your package, we can schedule a brief return visit or coordinate an individual session at a convenient time. We want every team member included, so we make it easy to fill in the gaps. Check our service packages for makeup session details.

Yes! We use a tethered shooting setup, which means each photo appears on a large display within seconds of being taken. You'll see your headshot instantly and can approve your favorite before leaving the session. This real-time preview eliminates the anxiety of wondering how you look. By the time you walk back to your desk, you'll already know you got a great shot.

We bring a selection of professional backdrops to every session: light gray (our most popular and versatile option), clean white, dark or black, and office environmental. Light gray works well for the majority of corporate websites and LinkedIn profiles. During your planning call, we'll discuss which background best fits your brand and can even accommodate custom colors if needed.

Standard turnaround is 3 to 7 business days from the date of your session. Every selected image receives professional retouching — skin smoothing, color correction, blemish removal, and background cleanup — while maintaining a natural, authentic look. If you need images sooner, we offer rush delivery for an additional fee. Same-day preview galleries are always available so your team can see unretouched favorites right away.

Why Our Process Produces Better Corporate Headshots

Great corporate headshots don't happen by accident. They're the result of a deliberate, repeatable process built around the specific challenges of photographing professionals in workplace environments — people who aren't models, spaces that weren't designed for photography, and schedules that don't accommodate long studio sessions. Our 5-step process was developed specifically to solve these challenges and deliver consistent corporate headshots every organization in Philadelphia can be proud to publish.

Consistency Is the Goal of Every Corporate Headshots Session

The most common complaint we hear from organizations that have tried other approaches to corporate headshots is inconsistency. Team members photograph themselves at different times, use images from different photographers, or submit personal photos that don't match the visual style of the organization. Our process solves this by bringing the same technical setup — same lighting, same backdrop, same camera configuration — to every session. The first corporate headshots session and the tenth add-on session for new hires produce images that look like they belong to the same visual family, because they were made with the same tools and the same method.

Consistency in corporate headshots isn't just an aesthetic preference — it's a business communications asset. When every team member's photograph looks like it was planned and produced intentionally, the organization's website, LinkedIn company page, and pitch materials communicate the same level of professionalism as the work the organization actually does.

Corporate Headshots That Your Team Will Actually Use

The ultimate measure of a successful corporate headshots session isn't the quality of the images when they're delivered — it's whether the subjects actually use them. We've seen organizations invest in photography that ends up in a shared drive, never uploaded to LinkedIn, never put on the company website, because the team members don't feel the images represent them well. Our coaching-forward process is specifically designed to prevent that outcome. Every subject leaves our session with corporate headshots they're genuinely proud to publish — images that reflect how they want to be seen by clients, colleagues, and the professional world.
